16000.4 Project Management Office

  • The Project Management Office (PMO) provides guidance and assistance to CDCRCalifornia Department of Corrections and Rehabilitation staff starting new ITInformation Technology projects designed to solve problems and improve operations. This includes providing guidance in the development of project concept proposals, feasibility studies, and other documentation required to obtain approval of any ITInformation Technology project. PMO maintains CDCRCalifornia Department of Corrections and Rehabilitation standards regarding the quality and format of FSRFeasibility Study Reports. These standards are consistent with statewide standards for FSRs. PMO reviews and approves FSRs to ensure they satisfy statewide and CDCRCalifornia Department of Corrections and Rehabilitation standards and requirements. The PMO is the CDCRCalifornia Department of Corrections and Rehabilitation liaison to the control agencies regarding project initiation matters. The PMO is responsible for tracking all approved projects and ensuring that all projects comply with State reporting requirements. Functional support, assistance, and direction are provided to the Information System Analysts on all system related issues by the Applications Systems Section. PMO is also responsible for coordinating and supporting the ongoing development of the CDCRCalifornia Department of Corrections and Rehabilitation Strategic Information Systems Plan.

  • PMO provides functional support to the ongoing operations of the Information Technology Executive Committee (ITEC). PMO responsibilities include:

    • Coordinating ITEC meeting agendas.

    • Coordinating the review of proposed information systems and furnishing recommendations for ITEC review.

    • Preparing periodic updates for the ITEC on the CDCRCalifornia Department of Corrections and Rehabilitation automation efforts.

    • Developing, coordinating, and participating in presentations to the committee that address current ITInformation Technology issues.

    • Coordinating the review of ITInformation Technology concepts to ensure compliance and consonance with CDCRCalifornia Department of Corrections and Rehabilitation policies and the AIMS.

    • Recording the actions and decisions of the ITEC for distribution to appropriate CDCRCalifornia Department of Corrections and Rehabilitation staff.

  • PMO is responsible for administering and coordinating the CDCRCalifornia Department of Corrections and Rehabilitation Workgroup Computer Policy. The Workgroup Computing Coordinator (WCCWorkgroup Computing Coordinator) resides in PMO. The WCCWorkgroup Computing Coordinator responsibilities include:

    • Ensuring that workgroup computing hardware and software requests comply with the CDCRCalifornia Department of Corrections and Rehabilitation and control agency policy requirements.

    • Preparing the appropriate certification documents for workgroup computing procurements.

    • Providing assistance in the completion of workgroup computing requests.

    • Maintaining the CDCRCalifornia Department of Corrections and Rehabilitation workgroup computing policy and modem policy as well as related equipment request forms for distribution to CDCRCalifornia Department of Corrections and Rehabilitation staff.

    • Overseeing the personal computer PIERPost Implementation Evaluation Report process.

    • Maintaining the CDCRCalifornia Department of Corrections and Rehabilitation personal computer equipment inventory.

    • Maintaining a record of all personal computer procurements, including those justified through the use of a FSRFeasibility Study Reports, the CDCRCalifornia Department of Corrections and Rehabilitation internal summary fact sheet, or the approved workgroup computing policy.

  • ITEC-Support Unit (SU) responsibilities include:

    • Coordinateing ITEC Committee meetings and disseminate information from these meetings.

    • Coordinateing review of proposed information systems.

    • Preparing annual updates for the cabinet on all CDCRCalifornia Department of Corrections and Rehabilitation automation efforts for the current year and strategic planning for the coming year.

    • Developing, coordinating, and participating in presentations for the ITEC committee addressing current technical innovations.

    • Coordinating the review of Information Systems concepts to ensure compliance and consonance with the budget cycle.

  • In its role as WCCWorkgroup Computing Coordinator, the ITEC-SU ensures that requests for microcomputer commodities comply with the CDCRCalifornia Department of Corrections and Rehabilitation and control agency policy requirements; prepares the appropriate procurement certification documents; provides assistance in the completion of workgroup computing equipment requests; maintains the CDCRCalifornia Department of Corrections and Rehabilitation workgroup computing policy, modem policy, and related equipment request forms for distribution to CDCRCalifornia Department of Corrections and Rehabilitation staff; and tracks the CDCRCalifornia Department of Corrections and Rehabilitation microcomputer commodity inventory.
